Job Purpose

The Finance & Administration Officer is responsible for managing and supporting routine office operations, finance functions, and administrative activities. The role ensures that financial transactions are accurately recorded and that administrative support is efficiently delivered across the organization. The position serves as a vital link between staff, clients, and stakeholders, ensuring smooth internal operations and compliance with relevant policies and regulations.

Responsibilities Finance & Accounting

·    Manage day-to-day financial transactions and maintain accurate financial records.

·    Process invoices, receipts, payroll, and statutory deductions (PAYE, SDL, NSSF, WCF, City Service Levy).

·    Enter financial data into QuickBooks and ensure completeness and accuracy.

·    Prepare monthly, quarterly, and annual financial reports.

·    Support audits by preparing required documentation and ensuring internal controls are followed.

·    Coordinate banking activities including setting up, managing, and balancing accounts.

·    Assist the Country Buiness Manager in financial data analysis and budget preparation.

Administration & Office Management

·    Oversee general office operations and support administrative functions.

·    Maintain proper filing and documentation of financial and administrative records.

·    Ensure accuracy in documentation, invoicing, and client communication.

·    Support procurement processes and inventory control.

·    Process staff payroll and benefits.

Compliance & Process Review

·    Ensure timely preparation and submission of statutory returns.

·    Review and improve internal financial and administrative processes.

·    Implement internal controls and ensure policy compliance.

RequirementsKnowledge and Experience

·    Bachelor’s Degree in Accounting, Finance, or a related field from a recognized institution.

·    Minimum 2 years of experience in finance and administrative roles.

·    Proven ability to manage financial transactions and office operations.

·    Experience working with QuickBooks or similar accounting software.

·    Strong understanding of financial regulations and statutory obligations in Tanzania.

·    Excellent organizational and multitasking skills.

·    High level of accuracy, integrity, and attention to detail.

·    Strong interpersonal and communication skills.

·    Ability to work under pressure and meet tight deadlines.

·    Fluency in both English and Kiswahili.

·    Professional appearance and demeanor.

·    Respectful and tactful when dealing with clients and staff from diverse backgrounds.

·    Punctual, reliable, and self-motivated.

About the position

The Alliance of Bioversity International and the International Center for Tropical Agriculture (CIAT) is looking for a self-motivated intern to provide timely and efficient programs support to on-going Alliance Projects in Tanzania.

Main responsibility:

The internship student will support and learn different administration and project operations duties from the Programs Administration & Operations, and other projects teams.

Key duties & Responsibilities

Assist in providing operational and administrative support for ongoing project activities in the office.Assist in scheduling and planning internal and external meetings and conferences by assembling meeting materials.Assisting in reviewing project budgets and budget for project’s routine events.Receives, sorts, analyzes, and summarizes material for the preparation of various reports.Assisting in maintaining program calendars and sending out reminders of impending appointments.Assisting in compiling and sending bulk mailings.Assist in proofreading and making copies of documents as may be required by the program team.Supporting in typing letters and reports as may be required from time to time.Supporting logistics and procurement by organizing payment documents for vendors and suppliers Supporting vehicle millage review and recording in data base for millage charge back to the projects.Assist in carrying out administrative tasks as required to facilitate an efficient working environment.Perform additional tasks related to administration and operations as may be required by superiors.RequirementsCompleted bachelor’s degree in business administration, project planning and management, agribusiness or any other closely related field not more than 1 year ago.Basic computing skills with knowledge of MS Office applications.Good written and oral communication skills.Good knowledge of English language.

Terms of employment

This is an internship position based in Arusha, Tanzania. Responsibilities To manage the Human Resource and Administration function of the organization and implement effective HR policies and procedures

§   Handle all HR activities related to Recruitment & Selection; Performance Management; Training & Development; Compensation & Benefits; Employee relations; Employee Grievances

§   Develop strategies and plans that contribute to business planning and objectives from a HR perspective

§   Work with the Top Management, to research and analyze data pertaining to employee turnover, training and employee development

§   Assist in design and development of compensation and benefits programs, policies, and procedures

§   Advise management in personnel policy and program matters, or recommending appropriate decisions

§   Manage relationships with line managers within respective departments to ensure that timely and effective support is provided in all areas of Human Resources and Administration

§   Interact with Management and employee groups to resolve employee relations issues

§   Handle all employee litigations

§   Direct performance review of Management process across the firm.

§   Educate and coach Managers regarding resource policies and practices, monitor resource management practices and provide calibration across functions

§   Work as a partner to proactively provide the tools, knowledge and assistance which facilitates excellent resource management within the company

§   Maintain integrity of HRMS system (software), ensuring it remains effective and operational at all times

§   Be the front line interface and control point of HR to designated businesses as well as participate as a member of the senior management team and ensure that HR related issues are taken into account in decision-making

RequirementsKnowledge and Experience §  Management Degree with exposure to any HRMS package§  Knowledge of Local Labour Laws is a must§  The ideal candidate shall have more than 10 years of experience in HR and Administration, out of which more than 3 years should be in a capacity of a Head of Department§  Good professional written and verbal communication and interpersonal skills§  A positive attitude and a pro-active approach§  Must be a strong, decisive, results oriented leader who can develop and manage relationships across the company and with a wide variety of partners based on trust, teamwork and knowledge§  Ability to work to strict deadlines§  High level of interpersonal skills and integrity; solid team player§  Ability to influence senior management, establish and maintain collaborative partnerships and provide thought leadership§  Ability to architect and drive change§  Ability to lead in a global, matrix environment
